Sales Workflows from Website Activity to Follow-Up

    A completed website form gives a sales team something important: a person who has chosen to identify themselves. It does not, on its own, provide the complete company context, explain everything that happened before the enquiry or make sure somebody takes responsibility for what happens next.

    For agencies and their clients, this is often where the gap appears. Marketing generates an enquiry, but the form notification becomes an email, the visitor journey remains inside an analytics platform and the sales action is recorded somewhere else. Details are copied into spreadsheets or sales systems, ownership is agreed separately and the original website evidence gradually becomes detached from the conversation.

    The matching rules are deliberately conservative. Visaro does not create or merge a person from an IP address, and it does not treat a name alone as sufficient identity. It also does not automatically create a company from a submitted company name without a usable domain.

    For the sales team, this means fewer duplicate records to reconcile and a clearer history when somebody returns to the website or submits another form. For the agency, it means the evidence remains contained within the correct client workspace rather than being mixed across accounts.

    Keep Company and Person Intelligence Separate

    A person may complete a form, but the commercial opportunity usually belongs to the company.

    Visaro keeps company records and people records related without treating them as interchangeable. The company record holds the wider business identity, status, owner, qualification, opportunity position, notes, tags, activity and next company-level action. The person record holds the confirmed contact information, role, outreach status and contact-level history.

    A submitted form confirms that somebody provided identifying information. It does not automatically make the company a suitable prospect.

    The enquiry may come from an existing client, a supplier, a job applicant, an irrelevant business or somebody whose requirements sit outside the client’s offer. Even a commercially relevant company may need review before it enters active sales follow-up.

    Qualification can use the evidence already held in the company record. This may include the form and visitor activity, company website, country, confirmed people and any accepted company research. Where relevant, Companies House or ICO information can support the review, but external evidence remains subject to confirmation rather than silently determining the decision.

    A company marked Not a Fit moves away from the active opportunity list while its existing people and activity remain available. If circumstances change, the company can be reviewed and returned to the appropriate workflow without rebuilding the record.

    This saves sales and business-development time by separating companies that warrant action from those that currently do not.

    Use Opportunity Priority Without Hiding the Reason

    Qualified sales work still needs an order.

    Agency Intelligence calculates a live company opportunity score using visible factors including recency, recent activity, recent form conversions, confirmed contacts and repeat engagement days. Companies can appear in Hot, Warm, Cooling, Developing, Dormant or Unengaged states.

    The score does not guarantee that a sale will happen. It helps the team decide which active records may deserve attention first.

    Each scoring reason and its contribution remain visible on the company record. The team can understand why one company appears above another rather than working from an unexplained ranking.

    Priority also changes as evidence ages. Rolling activity windows allow an opportunity to cool when there has been no recent engagement, while the underlying historical activity remains on the record.

    Existing clients, won companies, closed records and companies marked Not a Fit are excluded from the actionable new-business queue. This keeps the priority view focused on work that can still move through the active sales process.

    Give Sales the Evidence Behind the Enquiry

    A salesperson following up a form submission should not have to begin by asking marketing what happened before it arrived.

    The company and person records can retain the form source, page context, campaign or referral information and relevant same-session activity received from Agency Server. The activity timeline shows what was captured and when, allowing the salesperson to review the route into the enquiry before making contact.

    This can make the first conversation more relevant.

    If the visitor viewed several pages concerning one service before using the contact form, the salesperson has a reasonable subject to explore. If the enquiry came from a specific campaign, the team can retain that acquisition context. If the person has returned since submitting the form, the later activity can add to the record.

    The evidence supports preparation rather than replacing the conversation. Visiting a page does not prove a buying decision, and a form submission does not answer every qualification question. It gives the salesperson a clearer place to begin.

    Move Qualified Companies into an Owned Follow-Up Queue

    Once a company is qualified, the next step should belong to somebody.

    The Agency Intelligence Follow-Up Queue groups qualified companies into Overdue, Due Today, Upcoming and Needs Scheduling. Users can assign an owner, choose the next action and set a due date without opening every full company record.

    Quick scheduling controls allow common actions to be set for today, tomorrow or seven days ahead. This helps account managers and sales leads organise incoming work while the evidence is still current.

    After the action takes place, the user can record outcomes including Contacted, Meeting Booked, Proposal Sent, Won and Not Now. Proposal Sent and Not Now outcomes can schedule the next action, while a Won outcome moves the company into the client workflow.

    The queue therefore shows more than a list of leads. It separates work that needs scheduling from work that is already owned, highlights overdue actions and records what happened after the follow-up.

    Dated company follow-ups can also appear within a named user’s private Visaro assignment calendar. This allows the task to remain connected to Agency Intelligence while becoming visible alongside the person’s wider scheduled work.

    Use People Outreach for the Contact-Level Work

    A company-level next step and a person-level contact action are related, but they are not always the same task.

    The company owner may be responsible for progressing the opportunity, while another team member contacts a particular person. There may also be several people associated with the business, each with a different relevance to the sales process.

    The People Outreach Queue keeps this contact-level work separate from the company Follow-Up Queue. Contacts at qualified companies can be organised into Overdue, Due Today, Upcoming and Needs Outreach.

    Users can assign roles such as Primary, Decision Maker, Influencer and Other. Only one person can remain the Primary contact for a company, reducing uncertainty about which record should lead the outreach.

    Direct email, telephone and LinkedIn actions are available from supported outreach and person views. Users can schedule LinkedIn, Email, Call or Meeting actions and record outcomes including Contacted, Replied, Meeting Booked, No Response and Not Now.

    A No Response outcome can return the person for another attempt after seven days, while Not Now can defer outreach for 30 days. This gives common sales outcomes an operational next step instead of leaving them as notes somebody must remember to revisit.

    Person-level activity does not replace the company’s commercial next action. The company owner, qualification and overall follow-up remain authoritative.

    Let Follow-Up Produce Further Website Evidence

    Sales activity can also create another route back to the website.

    Agency Intelligence can create an expiring, person-specific outreach link for use in an email or LinkedIn message. When the link is opened, Agency Server can connect its use with the relevant person and company record.

    This can help the salesperson see that a page selected for the conversation has been reached, while keeping the outbound activity connected to the existing record.

    A tracked link opening remains attribution evidence rather than absolute proof that the named person personally clicked it. Messages can be forwarded, and automated security systems may inspect links before delivery. If the person later submits explicit identity through a form, that confirmed identity takes precedence.

    The value is in continuity. The sales team can move from website enquiry to follow-up and then retain relevant website activity generated by that follow-up without starting another disconnected record.

    Record What Happened Instead of Relying on Memory

    A queue is only useful when completed work leaves a reliable history.

    Agency Intelligence records company follow-up and person outreach events within the workspace. Scheduling, rescheduling, completion, cancellation, owner, action, due date and outcome changes can remain available as part of the workflow record.

    This helps when an account manager needs to understand why an opportunity has not moved, when a team member takes over another person’s work or when an agency needs to explain follow-up activity to a client.

    It also avoids treating the current status as the whole story. Two companies may both show Proposal Sent, but one may have received timely follow-up while the other has been repeatedly deferred. The recorded actions provide the context needed to understand that difference.

    Consider an agency managing lead generation for a B2B professional-services client.

    A visitor reaches a service page through a campaign, explores related information and later completes a consultation form using a work email address. The form supplies a name, telephone number and confirmed email, while Agency Server retains the form, page, attribution and relevant same-session context.

    Agency Intelligence matches the person by email and connects the activity to the company identified through the business domain. If the company already exists in the workspace, the new activity updates that record rather than creating another version.

    The company enters Review Pending. An account manager reviews the form context, website activity and company information. The business fits the client’s target market, so the account manager marks it Qualified, assigns a sales owner and schedules a call.

    The person is then reviewed separately. Their commercial role is not assumed from the form; the sales team confirms it and updates the contact record. The person becomes the Primary contact, and the call is recorded through People Outreach.

    If there is no response, the contact returns to the outreach queue after the defined delay. When a meeting is booked, the outcome is recorded. A later proposal creates another company-level follow-up, keeping the commercial action visible even if person-level communication continues through more than one contact.

    If the work is won, the company moves into the client workflow. The original form, website context, qualification, ownership, outreach and outcomes remain connected as a record of how the opportunity progressed.

    This is an illustrative workflow rather than a claimed client result, but it shows how each part of the sales process can remain connected without forcing every task into one undifferentiated lead list.

    Where the Sales Team Saves Time

    Owner workload and performance views reduce the manual effort required to establish whether leads have been assigned, contacted or allowed to sit unattended.

    The time saved can be used for the part of sales work that still requires people: understanding the requirement, asking useful questions, building the relationship and deciding whether there is a credible commercial fit.

    What This Gives the Agency

    For an agency, the value extends beyond passing a form notification to the client.

    The agency can show how website activity moved into a company and person record, whether the opportunity was qualified, who owned the next step and what outcome was recorded. This creates a more useful conversation than reporting only the number of forms completed.

    It can also help diagnose where the process needs attention. If relevant companies are reaching the website but few identify themselves, the issue may sit around conversion. If form enquiries are being captured but follow-up is overdue, the sales process requires attention. If follow-up is timely but opportunities repeatedly prove unsuitable, campaign targeting or qualification rules may need review.

    Operationally, less copying, chasing and reconstruction reduces the internal time required to support each client’s sales workflow. It may also allow account managers to support a greater volume of activity without increasing administration at the same rate.

    The Information Commissioner’s Office explains that UK GDPR can apply when personal data is used for B2B marketing, including where a business email identifies an individual. Organisations must also consider the communication method, transparency, lawful basis and the person’s right to object.
